Welcome to General Check-In tutorial – this tutorial will share the simple steps needed to check-in individuals or households using our General Check-In program.

General Check-In Steps

  1. An individual or family walks up to a church check-in attendant who has logged into Church Office Online’s Check-In program.
  2. If the family is new, select “Add Individual” from the Main menu to enter the family into the system, if they are not new then skip the following and go to step 3.
    • After entering the individual information for one of the adults or spouses ask if there are additional members in their household. If so, click the “Add to Household” under the Household tab at the bottom of your screen.
    • The Household pop-up window allows you to enter a new household or search for an existing household for the individual.
    • Click the “Add More To This Household” button to add additional members to the household
    • Once you have completed adding all individuals click the “Save and Close” button at the bottom of your screen.
  3. From the Main menu, select “General Check-In”.
  4. AAsk for the last 4 digits of their home phone, or their last name. This will search your Church Membership Online account for their information.
  5. Then ask what service, meeting or event the individual is checking into. Select the appropriate values.
  6. Check off the individual's names to record attendance.

All you need to mark an individual for attendance is a check by their name. Their attendance is instantly saved once their record is checked.

There is also a handy Check-In report on the Check-In Main menu which will produce a printable list of all individuals who attended a service, event or meeting./p>

August 2012 Enhancement Release

We are pleased to announce our August 2012 Church Membership Online enhancement release. Based on your feedback and requests we have added several new features and have enhanced some existing functionality.

New Features

New Save Reminder

We have added a great new feature that will detect if you have made changes to many of the information forms in Church Membership Online and prompt you if you forget to save your changes before navigating away. We think you will love this new feature and it will help prevent a lot of accidental update loss. 

New vCard Export

We have added the ability to export any individual to vCard format. What is vCard you ask? It is a standard, cross-platform format for electronic business cards. Saving individual information into vCard format allows you to easily export individual contact information into applications like Microsoft Outlook, Gmail, Mac OSX Address Book and many more!


  • Birthdays displayed on the Dashboard and in the Birthdays report updated to show just the month/day (privacy feature)
  • Contributions Overview report now includes the option to hide charts
  • Mailing Labels can now be sorted alphabetically instead of by postal code
  • Added Marital Status category "Separated"
  • Directory List now splits mobile information into two lines for better readability
  • Individuals report now includes City in the individual address
  • Increased Directory spacing when all information options are selected to improve readability

New Personalization Features

We are pleased to announce new features in Church Membership Online that allow you to personalize your account. Prominently displaying your church logo and name customizes your Church Membership Online account specifically for your church and imparts familiarity to your users.

Church Management Software Personalization

Church Logo Upload

You can now upload your church logo in Admin -> Settings. Your church logo will display at the top of Church Membership Online after any user in your church has logged in.

Church Name Display

After login, your church name will now display prominently at the top of Church Membership Online.

Is Online Giving For Your Church?

Churches that have an online giving program are reporting increased numbers of their members using online giving as well as improvement in consistency of giving through the year. While the average church shows 25-29% of their membership using online donations, there is every indication that the percentage will continue to rise. Of the 25-29% members, most are below the age of 40 with a majority ranging from age 25 to 35. So, given these findings is online giving for your church?

Prominent concerns regarding online giving

Churches that hesitate to offer online giving cite the following concerns:

  1. Percentage of those who would use it is very small
  2. Potential problem with adding to a member’s credit card debt
  3. Possible credit card identity theft from card processors
  4. Providing auto deduction or push processing could lessen one’s giving from the heart
  5. Technical difficulty in setting-up and maintaining an online giving program

Are the concerns above valid?

Very Little Use

While it may seem very few would use online giving, according to the 2010 Federal Reserve Payment Study the trend is showing double digit growth. More and more people want to have the option of paying online using a debit card or charge card. Young people prefer to make payments/donations online citing: convenience, rewards and reporting.

Credit Card Debt

It has not been reported yet that credit cards have become an issue with those that give. Churches should take a proactive stance by informing members that they should not be irresponsible when using their debit or credit card. Churches are also encouraged to conduct biblical finance management classes.

Credit/Debit Card Identity Theft

While identity theft continues to be on the rise the main culprit is more likely to be family member or co-worker than the card processing company. Most are due to the mishandling of user name & passwords stumbled upon by the thief than being a planned target.

Auto Deduction

This is an option that the giver can select. I don’t believe that we can find much in scripture that would be against it. One can say that giving should be from the heart but who’s to say that the person who chooses to auto deduct did not decide upon it with heart and soul in mind.

Technical Difficulty

No longer do you need degrees in computer science and accounting to make your way through online giving apps. Most (like provide easy steps to make a donation and manage those donations. Most online services provide video tutorials, knowledge base question/answer helps along with phone support to get you started. There are even smart phone mobile apps you can use.

So… if Online Giving is for your church, how do you get started?

It's important that you have a process to go through. Make sure your church leaders are involved in framing this process. When drawing up the process consider the following:

Preparation: Gather information about online giving and the services available. Compile features needed by your church with what the service provides. Make use of program demos.

Provision: When looking for service providers keep in mind compatibility with not only systems but browsers. Also note that older companies may not provide the best in current technologies. Avoid companies with contracts and large start up fees (known as loyalty fees). Always ask about the security and backup of your data. Make sure the tech support is in house rather than out sourced. Know what you can afford without depleting your ministry budget. Make sure the online giving service gives you a complete breakdown of what the program will cost.

Presentation: Online giving should be presented well to your members. Use mass email announcements, bulletin inserts, brochures (which some online giving services will provide), announcements, and a foyer manned information table. At least once every year revisit making this presentation to your church.

  • Login to Church Membership Online
  • Go to Reports
  • Select Contribution Reports -> Individual Contributions
  • Select the report options you want and be sure to select the Canada country format
